When you visit Unit IT´s website (e.g. https://unit-it.dk/) or use our other online services (e.g. on LinkedIn, Facebook and YouTube), Unit IT may collect and process information about the way you access our websites, how you navigate around them, which pages you visit, content you view, your searches, advertisements you have seen, etc.
Our websites may contain links to other websites. Unit IT is not responsible for the content of other companies’ websites or their practices in collecting personal data. When you visit other websites, you are advised to read the owner’s policy for protection of personal data and other relevant policies.
Categories of personal data
We process information about your visit, personal data such as you your IP address as well as information about your computer, device and browser – data that is collected through cookies, log files and other technologies.
We also process personal data that you provide to us in connection with your use of the website or our online services, for example when you use our online contact form, including your name, telephone number, email address, and other information you provide to us.

Legitimate interests: In most cases, the processing of your personal data will be based on our legitimate interest in, for instance, being able to reply to your inquiries, conducting statistics, analysis, marketing activities (where consent is not required), providing support as well as improving and developing our products and services (Article 6 (1) (f) of the General Data Protection Regulation).
Concent (Cookies): When you visit Unit IT´s websites, we collect personal data using cookies. The personal data collected includes for example user behaviour, browser type, device category, information about preferred settings and IP address. Before we place cookies, you will be informed about the use and purpose of collecting the personal data. Before placing cookies on your IT equipment, we will obtain your consent. Data Sharing
We do not sell, trade, or rent personal information to third parties. However, we may share information with trusted third-party service providers who assist us in operating our website, conducting our business, or servicing users. These parties are contractually obligated to keep the information confidential and use it only for the purposes for which we disclose it to them. Retention period
Your personal data will be retained for a period of 6-months, and hereafter the data will be anonymized.

When you receive marketing communication from Unit IT, including newsletters, we process personal data about your preferences in relation to marketing or communication, your use of the marketing communication we send to you (including, for example, whether you have opened an email from us, whether the email has been read and which links you have opened), as well as information that you otherwise provide to us.

Purposes of the processing
Unit IT processes the personal data for the purpose of marketing our company and services, and for setting up and managing your marketing subscription. We use preferences and usage to understand the way customers receive our marketing messages and to improve our marketing going forward.
We also use personal data about you to show you content based on your activities and preferences, and to limit the number of times you see the same content, as well as to measure the effectiveness of our content and marketing. For this purpose, we may upload your email address to advertising tools with LinkedIn Campaign Manager for the purpose of sending targeted marketing.

UNIT IT will mainly process your personal data based on one or more of the following legal bases:
Legitimate interests: Our basis for processing is our legitimate interests in complying with your wish to receive marketing communication from us, to which you have consented under the Danish Marketing Practices (Article 6 (1) (f) of the General Data Protection Regulation).
Consent: Marketing material will only be sent by email, text message or other electronic means once we have obtained your consent where this is required (Article 6 (1)(a) of the General Data Protection Regulation). The General Data Protection Regulation (GDPR) sets out strict requirements regarding consent to ensure that personal data is collected, processed, and stored in a transparent and lawful manner. The consent mut be:
Freely given without any form of pressure or coercion and without negative consequences for refusing consent.
Specific to the particular purpose of the data processing.
Individuals are fully informed about the processing of their personal data.

Retention period
We store personal data about recipients of marketing communication until you unsubscribe or the consent lapses due to inactivity unless we have another legitimate basis for processing the data. In accordance with the Danish Consumer Ombudsman's guidelines and requirements, we keep records of your consent to send you newsletters until two years after we last used your consent.
Participants in Unit IT seminars and events
When you register and participate in seminars and events organised by Unit IT, we process personal data in order to organise and facilitate events.

The purpose of Unit IT´s use of the personal data is to manage the event and for security reasons, as well as to be able to send you relevant material.

We store personal data of participants in events and seminars for twelve months after the end of the event. After that, the information is deleted.
Customer service and operational emails
When Unit IT customers contact our customer service by email, chat or telephone, etc., we register the personal data you provide to us.

Retention period
We store personal data about our customers as long as the customer relationship exists. After the end of the customer relationship, the personal data required under the Danish Bookkeeping Act are kept for a subsequent period of five years from the end of the financial year to which the accounting material relates.
Business partners and suppliers
Unit IT collects personal information from owners of sole proprietorships or contact persons at customers, suppliers and other business partners who collaborate with UNIT IT. UNIT IT may collect, process, and store personal data about you in the following instances:
When your company or the company you are employed with enters into an agreement with UNIT IT.
When you have shown an interest in UNIT IT’s products or services, e.g., by providing your business card to UNIT IT.

Legitimate interests: We may process your personal data pursuant to our legitimate interest in, for instance, to manage daily operations according to lawful and fair business practices, including planning, performing, and managing the business relationship or our legitimate interest in e.g., conducting credit ratings, statistics, analysis, marketing activities (where consent is not required), providing support as well as improving and developing our products and services. The processing may also be necessary for our legitimate interests in preventing fraud or establish, exercise, or defend legal claims (Article 6 (1) (f) of the General Data Protection Regulation).
Contractual obligation: The processing of your personal data will in some cases be necessary for the performance of a contract (Article 6 (1) (b) of the General Data Protection Regulation).
Legal obligation: The processing of your personal data will in some cases be necessary to comply with legal obligations, such as our obligations to prevent illegal activity (Article 6 (1) (c) of the General Data Protection Regulation).
Retention period
We store personal data about our business partners and/or suppliers as long as the cooperation continues. At the end of the cooperation, the necessary personal data will be stored in accordance with the Danish Bookkeeping Act for a subsequent period of five years from the end of the financial year to which the accounting material relates.

This section sets out the policy of UNIT IT’s processing of personal data in relation to recruitment.
Collection of personal data
UNIT IT may collect, process and store personal data about you as a part of the handling of your application and in relation to the recruitment process.
Categories of personal data
UNIT IT may collect, process, and store the following personal data:
Personal data which you have disclosed in your job application and CV as well as any attachments.
Personal data you disclose during any job interviews.
Information about you, including information regarding your previous jobs, activities, competencies, performance, as well as your general appearance, which is publicly available on the internet, including on social media.
Results of personality tests etc.
Criminal records.
References from your previous and/or current employers.
Credit information and rating if the position you have applied for involves financial responsibilities (e.g., bookkeeping or accounting).
Purposes of the processing
Your personal data will be processed for the purpose of assessing whether we can offer you a position.
Legal basis
UNIT IT will mainly process your personal data based on the following legal bases:
Request to enter an employment contract with us: We may process your personal data on the basis of your request to enter into an employment contract with UNIT IT (Article 6(1)(b) of the General Data Protection Regulation).
Legitimate interests: We may process your personal data on the basis of our legitimate interests in carrying out further assessments of whether we want to hire you, including on the basis of personality tests, publicly available information on the internet and – if the position entails a financial responsibility - credit information and rating (Article 6(1)(f) of the General Data Protection Regulation).
Consent: In exceptional cases and only when no other legal basis can be applied, UNIT IT may ask separately for your consent to process your personal data (Article 6 (1)(a) of the General Data Protection Regulation). UNIT IT will, for instance, only take references from your previous and/or current employers or collect your criminal records if you have consented to this.
Retention period
If you are offered a position with UNIT IT your application and additional relevant personal data obtained during the recruitment procedure will be stored in your employee file.
If you are not offered a position, we will store your application and any additional personal data obtained during the recruitment procedure for a period of 6 months following our rejection, unless you have provided your consent to the storage hereof for a longer period.
If we have collected your criminal records, we will delete them immediately after we have received and reviewed them.
Disclosure to other data controllers and transfer to data processors
To fulfil the above purposes, we may provide access to your personal data for third parties who, based on a contractual relationship with UNIT IT provide relevant services, e.g., IT-providers, customer service centres, invoicing providers, email providers, marketing providers and affiliated companies Such service providers will only process personal data in accordance with our instructions pursuant to agreed data processing agreements.
In connection with UNIT IT’s development, the company structure may change, e.g., through a full or partial sale of UNIT IT. In case of a partial hand over of assets containing personal data, the legal basis for the related disclosure of personal data is, primarily, Article 6(1)(f) of the GDPR, as UNIT IT has a legitimate interest in handing over part of its assets as well as making commercial changes.
Aside from above, it is a general rule that your personal data is not disclosed to a third party without your permission. However, under certain circumstances and in accordance with applicable law, we may need to disclose your personal data to

Rights of the Data Subjects

Right of access: You have the right to access/receive the personal information we hold about you and to know how we process it. You can request a copy of your personal data that we store.
Right to object: In certain situations, you have the right to object to our processing of your personal data, and always if the processing is for direct marketing purposes. However, this right only applies in cases where the processing is carried out in accordance with our legitimate interest under Article 6(1)(f) of the General Data Protection Regulation. If we cannot prove that our legitimate interest outweighs your interests, fundamental rights and freedoms, we will stop the processing of your data.
Right to rectification: If you believe that the information, we have about you is inaccurate or incomplete, you have the right to request that we correct or update this information.
Right to erasure (“right to be forgotten”): In certain cases, you have the right to obtain erasure of personal data about you before the time when we would normally delete your data. You have this right when one of the following situations applies:
The personal data is no longer necessary in relation to the purposes for which it was collected.
You have withdrawn your consent on which the processing is based and there is no other legal basis for the processing.

Consent
You may unconditionally and at any time withdraw your consent. You can do so by sending us an email (see email address above). Withdrawal of your consent will not have any negative impact. However, this may mean that we cannot meet specific requests from you in the future. Withdrawal of your consent will not affect the lawfulness of the processing based on consent before it is withdrawn. Furthermore, it will not affect any processing carried out on another lawful basis.
